Document Management
Document Management refers to the management of documents at all stages, from their initial creation right through to being stored, archived or disposed of. Having a document management system can help your business with the efficient organisation, storage and retrieval of important documents, including drawings, spreadsheets, Word files and more.
Document Management Systems
PEARL offers both Electronic Document Management Systems and Online Document Management Systems. Electronic Document Management Systems allow efficient storage and retrieval of scanned or electronically-produced documents. An Online Document Management System means that your documents can be accessed on the Internet (with optional password protection).

Documents can be indexed by various field types, for instance by reference number, title or date. Pearl's zone OCR technology can also be applied to automatically index the files. This process saves the users 95% of their time which is taken to manually index the files.
Efficient Document Retrieval
Such efficient indexing systems mean that documents can easily be searched for and retrieved. All your scanned documents can be searched in one easy step; you enter the required search number or address and press "Find" or "Enter". In less than a second your file will be displayed on your screen, now you can view, print or e-mail the files as required. Documents / files can also be retrieved by full text search for OCR document scanning.
Efficiency
A document management system means that documents can be accessed, referred to and read by your employees whenever they want, even if they are working remotely. A document management system will ensure that information management is far more efficient and staff productivity is maximised.
Security
Pearl can either come and collect documents from your office or scan and index them in-house, if you prefer it for security reasons. Once scanned documents be easily viewed on CD Rom or transferred to a webserver with password protection. Once you have a Document Management System in place, you can securely destroy the originals if you wish, making them safe from loss, fire, flood and damage, not to mention freeing up precious office space.
